Global Studies is an educational agency that connects students with language schools and academic programs around the world.

As the agency grew, managing schools, programs, pricing structures, quotations, and students manually became increasingly complex. Their workflow relied heavily on spreadsheets, emails, and manual calculations, which created inefficiencies and increased the risk of errors when preparing quotations or managing student enrollments.

Global Studies approached our agency to design and build a fully customized management system tailored specifically for the study-abroad industry.

Our goal was to create a platform that would streamline operations, automate repetitive tasks, and give the team complete control over their international programs, pricing, and student management.

The Challenge

Educational agencies operate with extremely complex pricing structures.

Each school can have multiple:

• Programs and courses

• Seasonal price lists

• Accommodation options

• Extra services

In addition, agencies must manage:

Global Studies needed a centralized system capable of handling all these elements while remaining flexible enough to adapt to new schools and programs.

They also required a system that would:

Our Approach

We designed and built a custom platform using Django, tailored specifically to the workflows of international educational agencies.

The platform allows the Global Studies team to manage their entire operation from a single system.

Key system modules include:

School & Program Management

The platform allows administrators to manage:

• Partner schools

• Cities and destinations

• Language programs

• Seasonal price lists

• Accommodation options

• Activities and additional services

This structure allows the agency to maintain accurate and dynamic pricing for each program.

Quotation & Pricing Engine

We built a custom quotation engine capable of calculating pricing based on multiple variables, including:

• Course duration

• Start dates

• Seasonal pricing

• Accommodation

• Additional services

• Group programs

The system automatically generates professional quotations for students, reducing manual calculations and eliminating pricing errors.

Student & CRM Management

The system also acts as a lightweight CRM where the agency can manage:

• Student records

• Program selections

• Quotations and revisions

• Enrollment history

• Communication tracking

This gives the team a complete overview of every student journey from inquiry to enrollment.

Invoicing & Financial Automation

Invoices are generated automatically based on confirmed quotations.

This ensures financial records remain consistent while saving the team hours of administrative work.

Communication Automation

To improve response time and reduce manual tasks, we implemented automated communication features including:

• Email notifications

• WhatsApp messaging integration

• Automated updates for quotations and confirmations

This allows the agency to maintain fast and professional communication with students.

Cloud Infrastructure & DevOps

Beyond the software itself, we designed a production-ready infrastructure to ensure reliability and scalability.

The platform is deployed on Amazon Web Services using modern DevOps practices.

Our infrastructure includes:

• Containerized deployment

• Automated CI/CD pipelines using GitHub Actions

• Secure cloud hosting

• Automated deployments

• Version-controlled infrastructure

This setup allows the system to be updated, tested, and deployed automatically, ensuring long-term maintainability.
